2024 Technology and Systems for Small Businesses: Being Efficient

I use many systems to run my small business, Sarah Scala Consulting. In order to be most efficient and effective, I built a spreadsheet a few years ago that shows the current-state and future-state of the systems I use. This analysis also included the frequency of use. I review and update this list annually, to look for ways to get more done with fewer systems, and streamline processes.

This spreadsheet helps to quantify the amount of time devoted to each task and system. It's often helpful to take a look at what we're spending our time doing as entrepreneurs, and what we may be able to delegate or eliminate.

Systems that I currently used to run my business include:

  • Google For Business (Gmail, Contacts, Keep, Forms, and Google Calendar) *

  • Zoom (for virtual presentations, keynotes, and video calls with clients) *

  • Quicken for Business (to manage accounting) *

  • Squarespace (for website hosting and newsletter)*

  • HubSpot Sales CRM (for keeping track of my clients, scheduling and tracking if emails were opened, scheduling meetings)

  • Planable.io (to schedule future posts for my online web and social media presence)

  • LinkedIn (personal and business pages to connect and share articles and blogs)

  • Microsoft Office (Word Docs, Spreadsheets, Presentations, OneNote)*

  • Microsoft Clipchamp (for video editing)

  • YouTube (sharing short video clips of speaking events and interviews)

  • Todoist (tracking tasks)

Because new businesses often do not have a lot of extra resources, I suggest really focusing on what systems and technology are absolutely needed to get started. This may include an accounting system like Quicken / QuickBooks, a system to manage your email, and a website system like Wordpress or Squarespace.
